Integrations

API Integration Services

Many businesses rely on several separate tools, and those systems were not built to work together. We build custom API integrations that connect your CRM, website, payment systems, accounting software and internal databases so data moves on its own — accurately, in both directions, without a person copying it by hand.

For businesses outgrowing spreadsheets, manual processes and disconnected tools.

The problem

Your tools all work. They just don’t work together

Every one of your systems does its job. The CRM tracks leads. The payment processor takes money. The accounting software books revenue. The website collects form submissions. The problem isn’t any single tool — it’s that none of them know the others exist. So the connection between them is a person: someone opens a payment notification and keys the amount into the accounting system, someone else exports a customer list from the CRM and imports it into an email platform, someone reconciles the online store’s orders against the inventory sheet at the end of the day.

That person is your integration layer right now, and it is an expensive, fragile one. They get sick, they get busy, they make typos, and every system they touch drifts a little further out of sync with the others. Most software vendors ship a page of “native integrations” that promise to fix this, but in practice those connectors usually move a handful of shallow fields — a name, an email, maybe a status — and stop well short of the custom fields, business rules and multi-step logic your business actually runs on.

A real integration isn’t a checkbox in a settings menu. It’s middleware built around your field mappings, your validation rules and what should happen when something goes wrong — which is exactly what a generic connector was never designed to handle.

Signs to watch for

Signs your business needs custom API integration

If several of these sound familiar, it’s time
  • Someone’s daily job includes exporting from one system and importing into another.
  • A “native integration” exists but only syncs a fraction of the fields you need.
  • Payments, orders or leads occasionally show up in one system but not another.
  • Your CRM, accounting and e-commerce platforms all show slightly different numbers.
  • A sync breaks and nobody notices until a customer or an invoice is affected.
  • You’ve outgrown a no-code automation tool’s rate limits, logic or reliability.
  • You’re about to add another tool and dread building yet another manual bridge to it.

Map every disconnected tool in your stack

A systems audit shows exactly where data is being re-typed between your tools today and which connections are worth building first.

The solution

What ALCA builds

We work directly with the APIs the platforms you use already expose — Stripe, QuickBooks, your CRM, your website, your internal databases — and build the connective layer between them. Where a system doesn’t offer an API deep enough for what you need, we build custom middleware that fills the gap. The result is a system you own, mapped to how your business actually operates, not to what a vendor decided to support.

  • Direct, authenticated connections into the tools you already run — no swapping platforms to get integration.
  • Field-level mapping built around your data, not the twelve fields a native connector happens to sync.
  • Retry logic, error handling and monitoring, so a failed sync gets caught and fixed, not discovered a week later.
  • Webhooks and real-time triggers where you need data to move the instant something happens, not on a nightly batch.

What we can build

Features and capabilities

CRM & website sync

Form submissions, leads and customer updates flow between your website and CRM the moment they happen.

Calendar & email connections

Booking, scheduling and inbox tools stay in sync with your CRM and internal systems automatically.

Payments & accounting

Connect Stripe and similar processors to your accounting software so revenue reconciles without manual entry.

E-commerce & inventory

Sync orders, stock levels and fulfillment across your store, warehouse and operational tools.

Custom middleware

A purpose-built bridge for systems with no official connector, or one that doesn’t go deep enough.

Webhooks & real-time triggers

Fire an update the instant something happens in one system, instead of waiting on a scheduled sync.

Data sync & migration

Reliable two-way sync between platforms, plus clean one-time migrations when you switch tools.

Auth, retries & monitoring

API keys and OAuth handled correctly, with retries and logging so failed syncs surface instead of vanishing.

Example scenario

From five inboxes to one connected flow

A distribution company sells through its website and a handful of wholesale accounts. Today, orders are checked by hand against inventory, then re-typed into accounting once a payment clears — a process that eats an afternoon and still produces mismatched numbers by month’s end.

  1. 1A customer places an order online. The order is written directly into the inventory system, and stock is reserved automatically.
  2. 2Stripe confirms payment, and the transaction is posted to the accounting platform the same moment — no one opens a dashboard to check.
  3. 3The CRM record for that customer updates with the order and payment history, so sales has the full picture without asking.
  4. 4If a sync fails — a card is disputed, an item is out of stock — the system flags it and notifies the right person instead of silently dropping the record.
  5. 5At month’s end, the numbers in the store, the accounting platform and the CRM already agree, because they were never entered three separate times.

Business impact

What changes for the business

Data moves on its own

Information entered once reaches every system that needs it, without a person carrying it between them.

Numbers finally agree

CRM, accounting and operational tools stop drifting apart because they’re reading from the same source.

Fewer dropped records

Errors surface through monitoring and retries instead of being discovered by a customer.

Faster operations

Orders, payments and leads reach the next step the moment they happen, not on a batch schedule.

Room to add tools without dread

A new platform becomes another connection to an existing system, not another manual bridge someone has to maintain.

Off-the-shelf vs custom

When custom software is worth it

Built-in “native integrations” and no-code automation tools are a reasonable starting point for simple, standard connections between two mainstream apps. Custom integration earns its cost when the connection is more specific than that.

Off-the-shelf is probably enough when…

  • Two well-known platforms that already offer a direct, official connector.
  • A handful of standard fields, with no custom data or business rules involved.
  • Low volume, where an occasional manual fix costs almost nothing.
  • No older systems, custom databases or multi-step approval logic in the path.

Custom is worth it when…

  • A native connector exists but only covers a fraction of the fields you rely on.
  • One or more systems have no public integration at all, official or otherwise.
  • Volume or dollar value is high enough that a silent failure is a real problem.
  • Your rules for what should sync, when and under what conditions are specific to you.

Try the built-in connector first if one exists — it’s free and it’s fast. The moment you find yourself working around its limits, or a person is quietly patching the gaps it leaves, that’s the signal a custom integration will pay for itself.

Frequently asked questions

How much do API integration services cost?

It depends on how many systems are involved, whether they expose a usable API, and how much custom logic sits between them. A single connection between two modern platforms is a small, well-defined project; bridging several systems with custom rules and retries is larger. We scope it honestly on a call, and our guide on how much custom software costs walks through the factors that move the number.

Are you an official partner of Stripe, QuickBooks or my CRM?

No, and we’d be cautious of anyone who claims to be unless they genuinely are. We build integrations as an independent engineering team, working through the public APIs those platforms publish for exactly this purpose. It’s the same access any developer has — we just use it carefully, with proper error handling and monitoring.

What if two of my systems have never officially integrated?

That’s common, and it’s usually still solvable. If both systems expose an API, we can build a direct connection. If one doesn’t, we can often bridge them with custom middleware, secure exports or webhook-based triggers. We’ll tell you plainly if a system is genuinely too closed to connect before we scope anything.

Is this different from manual data entry automation?

They overlap. API integration connects your systems so data moves between them without a step-by-step workflow; manual data entry automation focuses more broadly on removing keying work wherever it happens, including forms, documents and approvals. Many projects use both — the integration moves the data, and automation handles what happens to it next.
