Start with the preparation work, not a new payroll system
This service is for an established HVAC or mechanical contractor whose office can demonstrate a recurring handoff between field records and payroll. Show us what someone checks, copies or corrects before a pay period is ready. Standard payroll processing is not a reason to commission a custom system.
From authorized timesheets to a reviewed handoff
1. Confirm the inputs
Identify the authorized time source, pay-period cutoff, job references, approved pay rules and the receiving provider’s supported import format or API. Document who owns each record.
2. Validate and prepare
Find missing punches, overlapping entries, duplicates and unmapped job codes. Apply only explicitly configured, testable calculations; an AI model is not the authority for payroll arithmetic.
3. Review the exceptions
Show the source entry and the reason it needs attention. A designated supervisor corrects or approves the record. Missing data is not silently converted to zero hours.
4. Approve and hand off
Record the approved version before producing an export or supported integration request. Changes after approval return to review rather than silently altering a released batch.
5. Reconcile the result
Match the receiving system’s accepted records and totals to the approved batch. Keep rejected or uncertain records in an owned queue, and check the destination before retrying.
Illustrative workflow: a time record is incomplete
Synthetic example, not a client result: a technician’s job entry has a start time but no end time, and the same source record appears in a second export. The preparation workflow holds the incomplete entry and identifies the duplicate by its source reference. The supervisor resolves the time record, the payroll reviewer approves the revised batch, and only the accepted version proceeds to the provider.
Check native integrations before building
A configured field-service platform or supported payroll connector may already cover the requirement. Compare that available workflow with the exact gap in your process before choosing custom development. Account eligibility, permissions and supported operations must be verified with the providers.
Define controls and a measurable pilot
Begin with one authorized source and a limited pay-period sample. Establish preparation time, review time, exception count and corrections before claiming an improvement. Define role-based access, retention, audit records and incident ownership in the project scope. Sensitive samples belong in an approved secure channel after discovery, never in the website form.

Frequently asked questions
Can we keep our current payroll provider?
That is the starting assumption. We first assess the provider’s supported imports or integrations and what your field-service platform already supplies. Custom work should solve a verified preparation or reconciliation gap, not duplicate a working payroll product.
What happens when a technician forgets to clock out?
The proposed workflow flags the incomplete record and assigns it to your designated reviewer. It does not invent the missing time. The corrected source record and the reviewer’s decision remain traceable.
Who approves payroll?
Your authorized payroll manager or supervisor approves the preparation output. ALCA’s scoped workflow does not authorize pay release. The approval owner and the receiving provider’s responsibilities are agreed before implementation.
Does every ServiceTitan account support an integration?
No access is assumed from the product name alone. We verify the account’s eligibility, administrator permissions, available records and permitted operations before promising a connection. An authorized export may be an alternative when suitable.
Should we upload employee records for the review?
No. Describe the process and name the systems. Do not submit employee records, payroll files, bank details or credentials through this website. Any later data review requires an agreed secure access and handling process.
How is the pilot evaluated?
Agree on a baseline, representative exceptions and acceptance checks. Compare preparation effort and correction workload, and reconcile the approved output with the receiving provider. Savings are measured after the pilot, not promised in advance.
